Medical Affairs Coordinator

Our client is looking to fill the role of Medical Affairs Coordinator. This role will be hybrid and based out of the Princeton location.

Responsibilities:

  • Handles calendars for LT (Leadership Team) including issuing meeting invite
  • Coordinate and order catering for meetings and internal lunched
  • Arrange travel for LT - including hotels, flights, and transportation
  • Attending monthly Admin calls and aiding other admins as needed
  • Creating and submitting expense reports for LT members, utilizing Concur and American Express platforms - including receiving, uploading, and filing receipts, filling out necessary fields, finding necessary information, following T&E policy guidelines, and speaking with LT members when reconciliation is necessary
  • Sending out department wide communications - including piecing together instructions on utilizing various technologies
  • Assisting with department meeting planning including, room set-up, gifts, and team building events
  • Working with IT and HR to update titles and reporting structure in Outlook when there are promotions or new hires
  • Creating proofs and ordering business cards for team members
  • Making restaurant reservations for large parties as requested
  • Utilizing Stella to manage payments/invoices from outside vendors
  • Utilizing QuickBase to manage contracts from outside vendors
  • Providing various assistance and Ad Hoc support to Sharon, 6 Senior Leadership Team members, and the MA department

Required Qualifications:

  • Proven experience as an administrative assistant or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)
  • Excellent organizational and time-management skills. Must be detail-oriented
  • Strong communication and interpersonal abilities
  • Ability to work in a fast-paced environment, must be a self-starter
  • Needs to be resourceful and able to problem-solve
  • Prior pharmaceutical industry experience in Medical Affairs is preferred
